A coffee shop chatbot is not taking orders at the register. That would slow everything down. Its job is everything around the transaction: the questions people ask before they come in, and the orders too big for the line. Hours, wifi, catering, beans. Get those right and the bot earns its place. Try to replace the barista and it becomes a nuisance.

Hours are asked more than anything else, and they are trickier than they look. Holiday hours, summer hours, the Sunday you close early for a private event. The bot needs the real hours today, not the ones on the Google listing from 2023. "Are you open right now" is the single most common question any local business gets, and a coffee shop lives on foot traffic, so a wrong answer sends a customer to the place next door.

The laptop question divides coffee shops. Do you have wifi. Are there outlets. Is there a laptop policy during the morning rush. Some shops limit laptops before 10 AM and the bot should say so plainly. Remote workers choose their coffee shop the way they choose an apartment: wifi speed, outlets, and whether they will get the stink eye for staying four hours. Answering this well turns the bot into a customer magnet for the exact crowd that buys the second latte.

Catering is the money question. Offices order coffee for twenty people, and they order it the same week every week once they find a shop they like. The bot should take catering inquiries seriously: how much notice, minimum order, delivery radius, decaf options. A chat that captures a catering lead at 9 PM is worth more than a month of register upsells.

Allergen and ingredient questions need straight answers. Oat milk versus almond, which pastries contain nuts, whether the chai has caffeine. The bot should know the menu's real ingredients and hand off anything it is unsure about. Coffee shops do not get the same scrutiny as restaurants, but a wrong answer about nuts is still a wrong answer about nuts.

Retail beans are the margin most coffee shops leave on the table. Do you sell bags of the espresso you use. Do you have a subscription. Whole bean or ground. The bot should know the current offerings and prices, because the regular who buys a bag every two weeks is worth more than the one who grabs a latte on the way past. Subscriptions especially: the bot can explain the roast schedule and sign people up while the shop is closed.

Private events and rentals are the other overlooked lane. Can I rent the space for a book club. Do you host cuppings or latte art classes. Small shops do this more than people realize, and the inquiries come at odd hours. The bot should know the capacity, the rental terms, and who to hand the lead to.

Loyalty programs generate constant low-grade confusion. How do I sign up. Do points expire. Can I use the app and the punch card. The bot should explain it once, clearly, and link the signup. Every loyalty member is a customer who chose you twice, and the bot should make the first choice easy.

Mobile ordering is the question that splits shops in two. Do you take orders ahead on an app, or is it walk-up only. If the shop does mobile pickup, the bot should link it directly. If it does not, the bot should say so kindly, because nothing frustrates a regular like hunting for an order-ahead option that does not exist. Either answer is fine. Silence is not.
