1. Triage emergencies first, not questions
The first thing the chatbot should figure out is whether this is urgent. No heat in January, no AC in a heat wave, burning smell, gas smell — these are not "leave a message" situations. The chatbot should recognize emergency signals, say so plainly, and get the person to a human path immediately: emergency line, fastest callback slot, or a captured number flagged as urgent. Everything else — tune-ups, filter questions, maintenance plans — can wait in line behind this.
2. State the dispatch fee up front
Homeowners hate surprise fees more than they hate high fees. The chatbot should say your diagnostic or trip fee early: "Our diagnostic visit is $X, applied toward the repair if you go ahead." That one honest number filters out the price shoppers who were never going to book and builds trust with the ones who will. Vague chatbots that dodge pricing questions make people suspicious. Your chatbot should not dodge.
3. Check the service area before anything else
Nothing wastes time like a 10-minute conversation with someone 40 miles outside your area. The chatbot should ask for a zip code early and be straight about it: in-area gets the booking flow, out-of-area gets a polite no with a referral suggestion. This one step cuts your junk leads in half.
4. Book tune-ups and maintenance plans on its own
Emergencies get the attention, but tune-ups pay the bills between seasons. The chatbot should offer seasonal maintenance booking directly — spring AC check, fall furnace check — and explain your maintenance plan in plain language. These are low-urgency, high-margin bookings that a chatbot can close without waking anyone up.
5. Answer the 10 questions everyone asks
Train it on your real answers: Do you work on my brand? How much is a new system, roughly? Do you offer financing? Are you licensed and insured? How fast can someone get here? What does the warranty cover? Every one of these answered at midnight is a lead captured. Every one unanswered is a back button.
What it should never do
Three hard rules. Never quote a full system replacement sight unseen — give a range and book the in-home estimate, or you will be wrong and angry reviews will follow. Never promise an arrival time the schedule cannot keep — "a tech will call you within 30 minutes" only works if someone actually calls. And never diagnose beyond its depth: "that could be a few things, a tech needs to look at it" is the honest answer, and honest beats clever.
